The Shadow Day: one day watching, one week to a working demo.
A Shadow Day is an on-site AI audit for Adelaide businesses. We sit quietly with your team for one ordinary working day and watch how the work actually gets done. Within a week you get a written proposal, a demo running on your own process and an estimate of the hours it would save each person.
- Where
- At your workplace, in and around Adelaide
- How long
- One day on site, then about a week to the demo
- What you get
- A proposal, a working demo and an hours-saved estimate
How the week runs
- Before
We pick the day together
A short call to understand who does what, then we choose an ordinary, busy day. We'd rather see the work the way it usually goes, mess included, than a tidied-up version. We also agree what we can look at and what stays off-limits.
- Day 1
The shadow
We sit beside the people doing the work and take written notes. Nobody has to stop what they're doing or prepare anything. We keep questions to a minimum and save the rest for the end of the day.
- Days 2 to 6
The build
We pick the repetitive work that costs the most time and build a demo that does it, set up around the process we watched. If the demo needs your real data to be convincing, we agree that with you first.
- Day 7
Proposal and demo
We come back and show it running. You get a written proposal covering what we'd automate, what should stay with a person, what it costs to install and run, and an estimate of the hours it saves each person who does that work.
- After
Your call
Want it installed? That's when we agree a price and ongoing maintenance. Until you've seen it working, you haven't agreed to anything.
What lands on day seven
The proposal is short and plain. This is its layout, with the blanks left blank. Real numbers only appear once we've watched your team work.
- Work observed
- Which tasks, who does them and how often
- What we'd automate
- The steps the demo already handles
- What stays manual
- The parts that need someone's judgement
- Hours saved
- Per employee, per week: left blank in the sample
Estimated from your day, with the working shown - Systems touched
- What it connects to, and what it needs access to
- Install and upkeep
- Quoted in the proposal, only owed if you go ahead
Questions about the Shadow Day
What does a Shadow Day cost?
We confirm the details of the day with you, including any cost, before it's booked. The price of installing and running the automation is set out in the proposal, and it's only owed if you decide to go ahead.
Will you disrupt my team?
No more than someone sitting quietly in the corner with a notebook. Nobody has to prepare anything or stop what they're doing, and we hold our questions until a natural break or the end of the day.
What do you need from us?
An ordinary working day, a seat near the people doing the work, and someone who can answer a few questions at the end. If the demo would be more convincing with sample records from your systems, we'll ask first.
What happens to our information?
Before the day we agree in writing what we can look at and what stays off-limits. We take written notes, and we only copy files or records you've said we can use. If you'd like an NDA in place before we visit, tell us.
How is "hours saved" worked out?
We time the steps we watch, count how often they happen in a normal week, and compare that with how long the automated version takes in the demo. The estimate shows its working, so you can check it against what you know about your own week.
Do I have to buy anything afterwards?
No. You keep the proposal either way. If you'd like the automation installed, we agree the price and the ongoing maintenance at that point.
What kind of work is a good fit?
Repetitive computer work that follows rules: moving data between systems, rebuilding the same reports, chasing approvals, answering routine emails, building quotes in spreadsheets, filing documents. If a step needs someone's judgement every time, the proposal will say it should stay with a person.
Who turns up on the day?
The person who runs the studio. Adel AI Studio is one person, so whoever sits with your team also builds the demo and looks after it afterwards.
One quiet day. Then you see it working.
You only talk price if you want it installed.
